Office Manager
The Office Manager will ensure the smooth running of the office is maintained. The Office Manager must have discretion, confidentiality, integrity and interact with all internal or external contacts of the business at a professional level.
Responsibilities
Involvement in new employee inductions covering building tour, health and safety requirements including fire procedures
Issue of the Fort Anne Spa Agreement document to new employees
Liaising with the relevant internal departments to ensure new employee work stations are fully set up before commencement with the company
Management of company car park and rota system
Collect, open (where appropriate) and distribute daily post
Organise business travel and accommodation for all staff
Ordering and maintaining office stationary supplies
Ordering office furniture as required
Responsibility for allocated office budgets
Responsible for coordinating with the Fort Anne Facilities Manager, contractors, suppliers, clients and employees on all office related issues/activities
Liaising with Fort Anne receptionist on any forthcoming events within the building and notification to employees
Arrangement of employee life guard training as required
Assistance on company insurance renewals
Implementing and maintaining office related polices and procedures ensuring these are always up to date
Maintain good practices and procedures within Health and Safety ensuring any office issues raised are acted upon
Maintain list of First Aiders and Fire Marshals ensuring the right level is maintained to fulfil the Health and Safety requirements
Book meeting rooms and collect visitors from Reception as and when required
Ensuring stocks in the kitchen are maintained to include refreshments, cleaning supplies
Member of the Annexio Social Committee
Support management of company events – internal/external, to include the booking and arrangement of venues (will include but not limited to: charity events, employee activities and Christmas Party)
Arrangement of employee gifts to include birthday or special occasion recognition
Ad hoc tasks and support to other departments as required including DocuSign control
